“pdf” is an abbreviation the Portable Document Format. The pdf file format and extension was created by Adobe Systems in 1993 as a document exchange medium that could be easily transported in a manner that was independent of application software, hardware and operating system. Each pdf file can contain a fixed two dimensional document embedded with text, fonts, images and two dimensional vector graphics. In some cases, three dimensional elements can be included in the pdf file. The pdf file format was originally intended as a way of simplifying the process of moving text and graphics from publishers to printing presses, making the file format popular within graphic design and publication circles. The best advantage of the pdf file format over other similar document publishing formats is that the pdf document is the closest electronic equivalent to a sheet of paper – in other words, the document appears on the recipient's screen or printer the same way as it does on the sender's screen. This means that the sender can deliver a document that can be viewed and printed with identical results on all printers and computers. Historically, the pdf file format was a proprietary format that was largely restricted in its usefulness by external factors such as the lack of support for external hyperlinks that could point to sites on the Internet. In addition, the programs that were necessary for reading and creating pdf files were not freely available at the time, plus the large size of the early pdf files were too large to be downloaded in a prompt manner of time, especially on the modems of the mid to late 1990s. The free distribution of the Adobe Acrobat Reader (now known as Adobe Reader) program prompted the quickened adoption of the pdf file format as a de facto standard for printable documents on the Internet.
A pdf file is not readily editable, at least not with the freely provided Adobe Reader program. Instead, a computer user who wishes to either create a new pdf document or edit an existing document must first obtain the Adobe Acrobat Pro program. Unlike the Adobe Reader, the Acrobat Pro program has far greater capabilities in generating a new document as well as editing existing documents. The author of a pdf document can have it encrypted for security by requiring an owner password in order to fully modify the elements that appear within the document. Other operations such as printing or copying text and graphics can be prohibited by the author of the document. A pdf document can also be password protected in order to insure that its contents are kept secret from anyone other than the user that has the password. Unfortunately, both security measures can be easily bypassed with the use of “pdf cracking” software, thus rendering the aforementioned security measures ineffective once the pdf files are distributed. There is a low risk of viruses when it comes to the pdf format, but there have been cases where viruses were found in the attachments within a particular pdf file. Caution should be exercised with any file that has been downloaded or will be opened. Such files should be run through a virus scanner of some sort prior to viewing.
